Privacy policy

Introduction

In order for us to deliver our services and meet our legal obligations, we must process personal data about our customers (customer data). Hyre, represented by the highest administrative officer, is the data controller and is obligated to ensure that personal data is processed in accordance with applicable legislation, including the EU General Data Protection Regulation (GDPR), the Driving License Act (to check driving eligibility), the Accounting Act (to document expenses and the basis for invoicing), and the Marketing Act. Below we describe how we process customer data and your rights in relation to this.

If you have questions or wish to exercise your rights as a registered user, you can contact us at hej@hyre.se. You also have the right to lodge a complaint with the Swedish Authority for Privacy Protection regarding our processing of your personal data.

Why and how we collect customer data

When you create a profile, we record information about your name and personal identification number, a picture of your driving license, phone number, payment card, and email address. The purpose of processing this customer data is to fulfill the agreement we have with you and our legal obligations.

When you rent a vehicle, we also register your driving history, which includes information about the rental period, rental amount, GPS points for the vehicle during the drive (per minute), tolls, fuel refills, and the number of kilometers driven. The purpose is to calculate how much you need to pay us for the rental period and to show you where you can pick up the vehicle. When you use the app, we utilize the most recent location from your mobile phone to provide you with better customer service at that moment, and we do not store any location history.

We also use your customer data as mentioned above in our communication with you via the app, email, and SMS, which is directly related to delivering our services. This includes order confirmations, insurance certificates, timely messages related to the validity of rental agreements, receipts, and invoices. In cases where you have consented to it, we also send you information about products and services that may be beneficial to you via email or app.

We also process data to better understand your needs and further develop our service. The legal basis for processing this data is our legitimate interest in improving our services, as we assess that the consequences of the processing do not have a significant impact on you. We limit the use of personal data as much as practically possible, anonymize data, and assess the consequences of processing to minimize any potential impact of such processing.

Examples of using data for statistical or development purposes:

  • Collection and analysis of data to better understand the use of our services so that we can tailor content and improve the user experience. This may include conducting user surveys (electronically or via phone), such as an online survey or input on your own initiative via phone or chat.
  • Use of statistical data to better understand how our services are used and to group users with similar statistics. This may be based on driving patterns, number of rental agreements, types of vehicles ordered, general location, age, or other data that helps us better understand how users like you use our services. In these cases, data is aggregated so that you cannot be personally identified. The information is also used to produce traffic statistics for capacity planning, among other things.
  • Use of data to troubleshoot or address issues you may have encountered.
  • Monitoring driving behavior and using this to warn or exclude users for violations of traffic laws.

Examples of using data to deliver our service:

  • Invoicing, credit checks, and payment information to complete the payment.
  • Use of data during a booking, such as the most recent position from your mobile. We do this to assist you with navigation and troubleshooting in customer support.
  • Logbook and handling of customer inquiries (electronically or by phone) to help you if you have stopped or have questions.

Transfer of personal data to third countries

Hyre stores and processes data mainly in Norway and within the EU/EEA, but in some cases, we collaborate with partners outside the EU/EEA, referred to below as third countries. In such situations, we take extra measures to ensure that data is processed in accordance with our standards by using EU standard contracts that secure the transfer of data to third countries or transferring data to countries that have been pre-approved by the EU.

With whom do we share personal data?

Hyre does not sell personal data to third parties. We only provide third parties access to your personal data when necessary to administer your customer agreement, for example, to insurance companies in connection with insurance agreements, for marketing or analysis, or to offer you personalized content with us. We may also share your personal data with insurance companies in connection with the investigation and handling of damage. In cases where you have consented to it, the information may be used to provide you with tailored content on other websites. Access to your personal data for third parties may also be granted if you have consented to this.

Hyre uses tools from third parties to deliver our services, and data is therefore shared with third parties. They provide services on behalf of Hyre and are not allowed to use the information for anything other than helping us deliver optimal services. This includes, among other things, Mailchimp and Intercom.

Aggregated and anonymized personal data may be transferred to third parties to ensure optimal operation of our services and to third parties for their own marketing and tailoring of services that are relevant to you. Personal data is aggregated by Hyre before being delivered to third parties in anonymized form.

Customer data may also be delivered to public authorities if necessary for Hyre to fulfill its legal obligations, e.g., when disclosing information to the police.

How long do we process your personal data?

Hyre deletes personal data as soon as storage is no longer deemed necessary for the purpose for which it was collected, and when it is no longer necessary to store it for legal reasons (e.g., local accounting laws) or for Hyre to respond to complaints or claims. We delete your personal data when there are no longer any legal or statutory requirements or legitimate purposes that require us to retain them.

Your rights

You always have the following rights:

Right to access

You have the right to know what personal data we have about you and how we process it. Most of the information can be found in the app under Settings. If you want a complete overview of all personal data, you can request a full export via your user account in the app.

Right to rectification

We need updated and accurate information about you to deliver our services optimally. Therefore, you should be able to request that we correct information if it is incorrect. Most data can be changed by you via your profile in the app, but you can also request us to correct your information at any time by emailing hej@hyre.se.

Right to restrict processing

You have the right to object to the processing of your personal data based on our legitimate interests. You can do this by opting out of personalized advertising and marketing communication by contacting us at hej@hyre.se.

Right to data portability

You have the right to receive the personal data we have about you in a structured, commonly used, and machine-readable format. If you wish to do so, you can request a full export via your user account in the app.

Right to withdraw consent

You have the right to withdraw your consent for us to process your data in cases where consent is the basis for our processing. You can do this by contacting us at hej@hyre.se.

Right to deletion

You can delete your user data or accounts with us at any time. You do this directly in the app under Settings. In such cases, your personal data will be deleted within 30 days, except for data we are required to retain for other reasons (e.g., to comply with local accounting laws).

Right to object

If you believe we are violating the Data Protection Act or not acting in accordance with what is described here, you can contact us directly or the Swedish Authority for Privacy Protection. Read more at www.imy.se.

Cookies

Hyre.se and our app use cookies. A cookie is a small text file that is saved on your PC or mobile device when you visit hyre.se. Cookies help us understand how our customers use our website, which in turn allows us to improve it. You can choose to delete cookies in your web browser, but you should be aware that this may affect how our services function for you.

Third-party providers, including Google, Meta, and Snapchat, also use targeted cookies and anonymous identifiers on hyre.se and in the app to display ads based on your visits to this and other websites. These cookies are placed on our website and in our app with our consent. Hyre uses remarketing, targeted marketing tailored to demographics and location, as well as other types of interest-based marketing through Google, Meta, and Snapchat.

Personalization

To provide our services in the best possible way, we personalize parts of the services on hyre.se and in the Hyre app, as well as in our communication with you. The legal basis for this is our legitimate interest in tailoring our services. We assess that the consequences of this have a very small impact on you. Examples may include personalized offers in the app, suggestions for vehicles, routes, and trips that we believe you will like based on previous rental agreements or other relevant marketing through our own services. We use third parties to deliver parts of the personalized communication, such as Mailchimp, which is our service provider for email distribution.

Marketing

We offer all our users the opportunity to receive communication with suggestions, tips, and offers via email, SMS, and messages in the Hyre app. You can easily change this in your profile settings in the app or by contacting us at hej@hyre.se.

Sometimes we communicate about features, changes, or news in services or products or send other information that we deem necessary to continue delivering our services to you. Communication may occur via the specified phone number, email address, mailing address, or as messages through the app.

Changes to the privacy policy

Hyre reserves the right to change this privacy policy at any time. All registered users with us will be notified of changes with a request to approve the changes. Approval of this privacy policy, including any changes made, is a prerequisite for continued use of the services that Hyre offers.
